Centre management

Tutoring centre management software: groups, QR attendance and parents in one place

Snatr runs your centre and your online teaching together: branches and groups with timetables and capacity, attendance by QR card or by hand, a portal where parents follow their child's attendance and grades, and assistants who see only the screens you allow. All from the browser on a phone or a computer, with nothing to install.

Branches and groups

  • Each branch with its groups, and each group with its timetable and number of places
  • Move a student between groups without losing their attendance history
  • Times follow Egypt's clock, including when daylight saving changes
  • A branch, group or student with recorded attendance is archived rather than deleted, so history is kept

QR attendance

Every student gets a printed QR card. At the door, the front desk opens the camera in the browser and scans it, and the student is marked present.

  • Or a manual register: everyone starts absent, one button marks everyone present, and nothing counts until it is saved
  • Four states — present, late, absent, excused — and arriving 10 minutes after the start counts as late
  • Live-lesson attendance records itself when a student joins, and sits in the same record as the centre's
  • If a card is lost or photographed, issue a new one and the old one stops working at once

Keeping parents informed

  • Parents get their own login on your platform to see their children's attendance, grades, payments and notifications
  • One parent follows several children, even in different groups
  • The account is read-only — a parent cannot change anything
  • You create the account and set the password; they change it afterwards

Assistants and front desk

  • Each assistant has their own account and signs in on your platform
  • Choose the screens they see with one switch per screen, or from presets: front desk, branch supervisor, academic assistant, full access
  • Permissions are read on every request, so removing one takes effect immediately
  • Suspending an account ends its open sessions at once, and an activity log shows who did what

Paper or Excel, or software?

Excel is free and flexible, and for a small centre with one or two groups it can be enough. The difference shows as the centre grows:

Limits we state plainly

  • A printed card can be photographed and passed to another student. The platform stops the same card counting twice in one session, but not attendance by proxy with a photo of it.
  • An assistant belongs to the whole teacher account; per-branch permissions do not exist yet.
  • Accounting software is the better fit if your main need is the centre's expenses and books; Snatr focuses on students, attendance and teaching.
  • Scanning a card needs the browser to be allowed to use the camera.

Centre management questions

What is the best software for running a tutoring centre?

One that keeps groups, attendance, parents and staff in one place, and ties them to your online teaching if you teach online too. That is what Snatr is built for. If you need detailed accounting, accounting software will suit you better.

Does it work on a phone?

Yes, in the phone's browser, and QR cards are scanned with the phone's camera. There is no app to install.

How do I take attendance with QR instead of paper?

Print a QR card for each student from their profile. At the door, the front desk opens the scan screen and points the camera at the card, and the student is marked present for the session in progress.

Can parents follow attendance and grades without calling me?

Yes. They sign in on your platform and see attendance, grades, payments and notifications. Grades and payments appear once the student has an account on the platform.

I have several branches — how do I organise timetables and capacity?

Each branch has its groups, and each group has a timetable and a number of places. When a group is full, the platform will not take another student until you raise the number of places.

How do I give the front desk limited permissions?

From the assistants screen: create an account and pick a preset such as front desk, or open and close each screen individually. Changes take effect immediately.

What if an assistant leaves?

Suspend their account and every open session ends at once. Their activity log stays.
